Terms of service

Clear terms for your Atlas workspace.

These terms govern authorised Atlas customer subscriptions, data processing and agreed evaluations unless a separate signed service agreement applies.

Effective and last updated: 11 October 2026

1. Acceptance and current availability

These Terms govern authorised Atlas customer subscriptions and agreed evaluations unless a separate signed service agreement applies. Access currently remains controlled; these terms do not announce unrestricted public registration or activate Live payments. By accepting the terms for your organisation, you confirm authority to act for it. An employee invitation grants only the access assigned by the organisation.

Atlas is a product operated under the CTRY Labs trading brand. CTRY Labs is not a registered limited company.

Business address: 1331 Sarnia Road, Durban, KZN, South Africa. General enquiries: hello@ctrylabs.com. Customer support: support@ctrylabs.com. Privacy: privacy@ctrylabs.com.

Legal supplier: Dylan Charl Trytsman, trading as CTRY Labs, a sole proprietor.

Customer-contact telephone: +27814270960.

2. The Atlas service

Atlas provides enabled business-administration modules through its customer Web and Android applications, including employee records, payroll, timesheets, leave, employer-loan records, purchases/payables and Document Vault. Your agreed package and company permissions determine available modules. Sage integration and the Atlas Websites/Marketing modules are excluded from the initial release; ordinary uploads remain available where authorised, but email-to-Vault intake is excluded. A roadmap or product description does not grant a future feature.

3. Calculations and statutory responsibilities

Atlas supports administration and does not provide professional legal, tax, payroll, accounting, labour or financial advice. Your organisation must verify its configurations, pay and leave rules, loan agreements, deductions and reports before relying on them. Atlas records the tax/deduction values you supply; it does not automatically calculate PAYE/UIF. Employer-loan records do not mean Atlas lends money or offers credit. Neither the software nor these terms certify statutory correctness or authorise overseas statutory-record storage.

4. Organisation and user responsibilities

Your organisation is responsible for the accuracy and lawfulness of data entered into Atlas, selecting authorised users, assigning appropriate roles, obtaining required employee notices or consents, reviewing outputs and maintaining any independent records required by law. Users must keep credentials confidential and report suspected compromise promptly.

5. Acceptable use

You must use Atlas only for lawful internal business purposes and within the authorised evaluation or subscription scope.

  • Do not attempt to bypass access controls, probe security or interfere with the service.
  • Do not upload malicious code, unlawful content or information you are not authorised to process.
  • Do not scrape, reverse engineer, resell or use Atlas to build a competing service except where law expressly permits.
  • Do not share accounts or use another person’s identity.

6. Customer data and processing instructions

Your organisation retains its rights in customer data and ordinarily determines the purposes of processing employee and business records. For that data, CTRY Labs acts as an operator/processor under the agreed service instructions, for the service period and the applicable return, retention and deletion period. Processing covers the employee, contact, payroll, leave, employer-loan and document categories supplied to enabled modules; the Atlas Privacy Policy gives the provider and location details.

These processing clauses form part of the written service agreement when accepted by an authorised customer organisation. We process customer business data only to provide, secure, back up and support the authorised service, on lawful customer instructions or where law requires otherwise. We do not sell it or use it for behavioural advertising. Access is limited to authorised people bound by confidentiality and to providers needed for the stated functions.

We maintain appropriate, reasonable security measures, including company access controls, encrypted transport, private files, audit records and restricted backups. We assist the organisation with relevant access/correction/deletion requests and security incidents. Where there are reasonable grounds to believe its personal information was accessed or acquired without authorisation, we notify the organisation immediately; it remains responsible for its applicable regulator and individual notifications.

Subprocessor arrangements and international transfers must meet applicable requirements for the approved scope. We will communicate material changes affecting customer records. At service end, eligible information is returned or deleted under lawful instructions and the disclosed module, financial, shared-record, legal-hold and backup rules. These clauses do not claim that a provider agreement or required statutory authorisation has already been obtained.

7. Service changes and evaluations

We may deliver security fixes and service improvements and require supported application versions. Material changes to agreed modules or commercial terms will be communicated before taking effect; future features are not promised. Separately agreed evaluation features may be incomplete, changed or ended under the evaluation arrangement. If you provide feedback, you permit us to use it to improve Atlas without publicly identifying you without permission.

8. Prices, subscriptions and payment

Before subscribing, your organisation is shown the enabled modules, final price, currency, billing period, renewal arrangement and any usage limits. Approved launch prices are final amounts; the supplier is not VAT-registered and does not add VAT or issue a VAT tax invoice. The accepted checkout or written order, not an unspecified future price, records the commercial agreement.

Paid access is granted after verified payment. Monthly subscriptions renew under the disclosed billing arrangement unless cancelled; a cancellation takes effect at the current paid-period end. Price or tax-status changes will be communicated for future periods, not applied by rewriting an issued invoice or silently adding a charge.

Paystack processes payments only after separately approved payment activation. We send billing email, amount/currency, an opaque reference and the callback URL, not employee or document records or internal company/invoice identifiers as metadata. Atlas does not store full payment-card details. Evaluation or test-mode activity is not a real payment obligation.

Refund requests are reviewed manually through accounts@ctrylabs.com. Where a refund is due, it is made to the original payment route, with the appropriate invoice/credit record. Cancellation does not automatically create a prorated refund, but this does not limit mandatory cancellation, cooling-off, refund or other consumer rights.

9. Third-party services

Atlas depends on infrastructure, email, storage, mobile delivery, document processing, payment and other providers. Their availability and lawful terms may affect certain features. Where your organisation enables an integration, it is responsible for its third-party account and permissions.

10. Intellectual property

CTRY Labs and its licensors own Atlas, its software, product identity, documentation and improvements. These Terms grant only a limited, revocable, non-transferable right to use Atlas within the authorised scope. They do not transfer ownership or permit sublicensing.

11. Confidentiality

Non-public evaluation features, documentation, security information and commercial terms should be treated as confidential. Each party must protect the other party’s confidential information and use it only for the evaluation or service relationship, subject to customary legal exceptions.

12. Availability, support and liability

We work to provide a secure and reliable service, but Atlas is provided on an “as available” basis and may be interrupted for maintenance, incidents or provider outages. Customer support is support@ctrylabs.com, staffed Monday–Friday 08:00–17:00 SAST. Automated monitoring operates continuously; after-hours human response and uninterrupted availability are not guaranteed.

To the fullest extent permitted by law, implied warranties are excluded. CTRY Labs is not liable for indirect, incidental, special or consequential loss, loss of profits or loss caused by unverified outputs. Any aggregate liability will be limited to fees paid for Atlas in the preceding three months, or ZAR 1,000 if no fees were paid, except where law does not permit that limitation. Nothing excludes a duty, remedy or liability that cannot lawfully be excluded.

13. Cancellation, Vault access and retention

Ordinary subscription cancellation takes effect at the paid-period end. We may suspend access to protect users or data, address misuse or comply with law, explaining the reason where lawful and practicable. Any separate evaluation can end under its agreed terms. Suspension or ending a subscription is not automatic deletion of employee, financial or shared Identity records.

For Document Vault cancellation, normal use continues to the paid-period end. For the following 30 days, eligible existing Vault data is available for read/download/export but not new uploads. Restricted recovery follows until eligible Vault-specific data can be deleted from day 60 total after the paid-period end, subject to advance notice, verified eligibility and legal/shared-record safeguards. Required Payroll, Leave, financial, shared-file and held records are not deleted merely because the Vault subscription ended.

Post-expiry Vault reactivation is a new month at the existing full monthly Vault price after verified payment, without an automatic prorated refund. Existing Essentials paid access is preserved and overlapping Vault access is not charged twice. Necessary legal-hold storage is absorbed at initial launch; any future hold-storage fee requires prior agreed terms, not a surprise post-cancellation charge.

Invoices, credits, payments and financial audit follow the seven-year financial-year-end policy and any longer applicable filing/dispute/hold requirement. Eligible raw payment-provider payloads follow the 90-day policy. The Privacy Policy separately explains backup retention. Day-60 eligibility does not erase required records or promise immediate backup deletion. Contact privacy@ctrylabs.com for a verified individual data request.

14. Governing law

These Terms are governed by the laws of South Africa. The parties will first try in good faith to resolve disputes directly. Nothing limits mandatory consumer or data-protection rights that apply in another jurisdiction.

15. Changes and contact

We will communicate material terms changes before they apply to the customer’s service. General product questions: atlas@ctrylabs.com. Customer support: support@ctrylabs.com. Billing/refunds: accounts@ctrylabs.com. Privacy: privacy@ctrylabs.com. Mandatory rights remain unaffected.
